EU/EEA and UK Privacy Notice
Effective as of October 1, 2026
This notice explains how HR Cloud Inc. (“HR Cloud”, “we”, “us”) handles your personal information when you deal with us directly. That covers visiting our website, asking about our products, signing up for our emails or webinars, getting in touch with us, or applying for a job with us.
If your employer uses HR Cloud software and your details sit inside it, this is not the notice for you. In that case it is your employer who decides how your information is used, so please read your employer’s own privacy notice instead. This notice does still cover you if we also hold your work contact details to run the account, for example as a billing or administrative contact.
1. Who we are
HR Cloud Inc. is the company responsible for the personal information covered by this notice. We are located at 222 North Pacific Coast Highway, Suite 2000, El Segundo, CA 90245, United States. Phone: 855-714-7253
Our EU representative is Human Resources Cloud d.o.o. located at Poljička cesta, 21000 Split with OIB 62108729201, ivuksa@hrcloud.com
2. Where your information comes from
Most of what we hold comes from you, when you fill in a form, register for a webinar, contact us or apply for a job.
We also collect information about your device and how you use our website automatically. Our cookie notice explains what we collect and why.
We also receive your work contact details (name, work email, telephone, company, role and country) when a colleague at your organisation gives them to us, for example as a billing or administrative contact.
Where we get your details this way and use them to contact you, we tell you where they came from at the latest in our first message to you.
Where we ask you for information to enter into a contract or to consider a job application, you may not be able to proceed if you choose not to provide it. Otherwise, providing your information is voluntary.
3. Why we use your information
Most of what we do rests on our legitimate interests. On that basis we:
- run and protect our website, applications and systems, to keep them available and secure and to prevent fraud and misuse;
- respond to your enquiries, arrange demos and provide support, to win new business and retain existing customers;
- administer accounts, billing and service communications, to execute our contracts and collect payment;
- send marketing and webinar invitations to business contacts, to generate new sales;
- assess candidates who apply to us, to fill our vacancies, and keep applications on file to match candidates to roles that arise later.
We rely on your consent, given through our cookie banner, to:
- run analytics and session recording, and improve our services;
- show you advertising and retargeting;
- identify the organisation you work for when you visit our site.
We also use your information where the law requires it, for example for tax and accounting, and to respond to lawful requests.
4. Automated decisions
If you apply for a job with us, we use software that reads your application and scores and ranks it against the requirements of the role, based on the experience, skills and qualifications you provide. It surfaces the strongest-matching applications to our recruitment team, and applications that score below the line it sets may not be read by a person before they are set aside. That is a decision made by automated means, but we welcome any request to review such a decision.
So if you have applied for a role with us, you can ask us to have a person review the decision, tell us anything you think the software missed or misread, and contest the outcome. Use our request form at https://corehr.hrcloud.com/PrivacyPolicy/RequestForm and a member of our recruitment team, not the software, will look at your application again.
5. Who we share your information with
We use other companies to help us run our business, and they handle personal information on our behalf and on our instructions. They include our hosting provider, our CRM, and the analytics and website tools we use to understand and improve how our site is used. Where any of these involves advertising, or identifying business visitors to our site including the organisation you work for, it happens only if you have accepted the relevant cookies, and you can find each tool named in our cookie notice.
We also share information with our professional advisers and auditors, and with courts or authorities, where we need to in order to meet a legal obligation or to establish, exercise or defend legal claims.
6. International transfers
Some of your information may be sent to the United States, including to our parent company HR Cloud, Inc. and to the service providers we use to run our business. When that happens we make sure it stays protected: the companies that receive it are certified under the EU-US Data Privacy Framework, which is an approved way of sending personal information to the United States. Just ask us if you would like to know more about how we protect it.
If you have a complaint about personal information transferred to HR Cloud, Inc. under the EU-US Data Privacy Framework, and we have not resolved it to your satisfaction, you can take it to your data protection authority. HR Cloud, Inc. has committed to cooperate with those authorities and to follow their decisions. HR Cloud, Inc. is also subject to oversight by the US Federal Trade Commission.
7. How long we keep personal data
How long we keep your information depends on why we hold it:
- Marketing: 4 years from your last interaction with us. If you ask us to stop, we act on that right away and keep only enough to make sure we do not contact you again.
- Customer admin and support details: for as long as your organisation is our customer, and then only for as long as we need to meet our legal obligations.
- Enquiries, support and webinar registrations: up to 24 months after your last contact with us.
- Job applicants: 24 months after we decide on the role, so we can consider you for other positions in the meantime. You can ask us to remove your details sooner.
- Website and security logs: 6 months.
8. Security
We use appropriate technical and organisational measures to protect your information, and we keep them under review.
9. Your rights
The law gives you a set of rights over your personal information. Within the limits the GDPR sets, you can:
- see the information we hold about you and get a copy of it;
- have us correct anything that is wrong, or complete anything that is missing;
- have your information deleted, where that right applies;
- have us pause how we use your information, where that right applies;
- get the information you gave us in a portable format, or have us send it straight to another provider, where that right applies;
- object to us using your information where we rely on our legitimate interests, and object to marketing at any time;
- withdraw your consent at any time, which does not undo anything we did before you withdrew it.
To exercise any right, contact privacy@hrcloud.com or use the request form at https://corehr.hrcloud.com/PrivacyPolicy/RequestForm. We respond within one month, extendable by two further months for complex requests, and we will tell you if an extension applies. You also have the right to lodge a complaint with your local supervisory authority. A list of EEA authorities is available from the European Data Protection Board, and UK individuals may complain to the Information Commissioner’s Office.
10. How to contact us
For any question or request about your personal information, or to exercise your rights, email privacy@hrcloud.com or use the request form at https://corehr.hrcloud.com/PrivacyPolicy/RequestForm . You can also write to us at the address above.
